DMSc Capstone Scoping Reviews

This guide has been prepared by the DMSc liaison librarian to answer common questions, provide resources, and help students as they conduct their capstone scoping review project.

Introduction

See the boxes below for more information on how to export your searches, import them into Zotero or EndNote, and upload them into Covidence. The three most popular databases are used as examples: PubMed, Scopus, and CINAHL. Note that all EBSCO databases will follow the same procedure as CINAHL.

Exporting Results from PubMed

1. Perform your comprehensive search

2. Click on the "Send to" button above your search results

3. Click on "Citation manager" in the dropdown menu

4. Select "All results" in the dropdown menu

5. Click the "Create file" button

6. Save the file to your computer with a descriptive filename so you can find it later

Exporting Results from Scopus

1. Run your comprehensive search

2. Click the checkmark above your search results to select all the results of the search

3. Click on Export, and then on RIS in the dropdown menu

4. Select what information you would like to export. When in doubt, select all the options so you don't miss anything

5. Click the Export button

6. Save the file to your computer with a descriptive filename so you can find it later

Exporting Results from CINAHL (and other EBSCO databases)

1. Run your comprehensive search

2. Click on Share, towards the right of the screen above your search results

3. Click on "E-mail a link to download exported results" in the dropdown menu

4. Enter your email address and select RIS Format in the right-hand menu 

5. Click the Send button and wait for the email to arrive. This usually takes a few minutes

6. Open the email and click the link inside to download your search results

7. Save your search results and give it a descriptive filename so you can find it later

Importing and Exporting Search Results in Zotero

1. Install Zotero and make an account on Zotero.org. See the Quick Start Guide for more information

2. Open the Zotero application on your computer

3. Click on File in the top navigation menu, and then on Import

4. Select your first saved search, this will create a new folder in Zotero with the citations from that search

5. Repeat for each database

6. Click on the folder icon to create a new collection, and give it a name. This will house your results from all your searches in one place

7. Drag the folders for each individual search into the newly created folder

8. Right click the folder containing all your search results, and select "Export collection"

9. Select Endnote XML and click OK to download a file that contains all of your search results from every database

All your citations are now collected in one place for your reference. The next step is to export them out of Zotero and into Covidence.

Importing and Exporting Search Results in EndNote

  1. Open Endnote on your computer
  2. Create a new EndNote library with no other citations in it
  3. Click on File in the top left of the navigation bar
  4. Click on Import, and then on File...
  5. Click the Choose button and select the file from your first saved search
  6. In the Import Option dropdown, select the appropriate option for the databases you are using
    1. Most will use the RIS option
    2. PubMed has its own option, you may need to click on Other Filters... to access it
  7. Choose Import All in the Duplicates dropdown
  8. Leave the Text Translation dropdown on No Translation
  9. Repeat this process for each database/saved search
  10. Click on File in the top right of the navigation bar, then on Export
  11. Save the file as an XML file - this is what you will need to import your results into Covidence
  12. Uncheck the export selected reference box
  13. Save the file

Uploading Citations to Covidence

1. Create an account and sign into Covidence

2. Create a new review, if you haven't already started one

3. Click the Import button towards the top of the screen

4. Select "Screen" in the dropdown menu

5. Click on Choose File and select the file you exported from Zotero or EndNote

6. Click Import, and all your citations will now be ready in Covidence to be de-duplicated and screened

Adding Full Text PDFs to Covidence

Using Covidence and a reference Manager (EndNote or Zotero) you can automatically find and upload full texts of your included articles. Note that this process is not perfect, so you may still need to manually find and attach PDFs for some studies. Reach out to the library if you need help getting the full text of articles.

To use citation managers to find PDFs, you will need something called an OpenAthens URL. The URL for ATSU is:
